Terms of Carriage

The following terms and conditions apply to any and all contracts and agreements, whether in writing or verbal.

The hirer is considered to be the representative of all members of the group. In the case of an organisation hiring, a single person must be appointed to be the point of contact and be named as the responsible party. This person shall be held responsible for the conduct of all members of their group, regardless of whether or not they themselves are traveling.

All quotes are given based on the information you supply. Please note that additional charges may be applied where necessary. We shall always endeavour to ensure that you are given notice of any additional charges as far in advance as possible.

The specific route which the tour follows is down to the discretion of the driver. Where possible we shall always seek to accommodate any requests.

There is no assumption that the vehicle shall be available at all times between outward and homeward journeys. Where you require access, we shall attempt to accommodate but cannot guarantee.

Plan Ahead Coaches may charge extra fees to cover any additional costs which we may incur above what was agreed in the hire contract.

We shall depart at the agreed time. It is your responsibility as booker to ensure that all passengers are accounted for. While we will always attempt to accommodate passengers who are running late, we cannot accept responsibility for any loss caused by delays outside our control.

The hours which a driver may spend actively driving and their rest periods are regulated by law. No member of the party should cause delays which may impact on these prescribed hours. If a breach of these regulations is caused by the actions of a passenger, that passenger shall be held liable for any costs incurred.

The capacity of our coaches is set by law. Your party must not exceed the number of available seats.

No animals, save guide dogs and other assistance animals may be carried on-board the coach without the advance consent in writing of Plan Ahead Coaches.

All bookings and any subsequent alterations to said bookings will be confirmed in writing.

Payment in full must be received by the start of the hire period unless by prior arrangements confirmed in writing.

In the event of a cancellation by the booker the following charges will be applied:

More than 7 Days before the day of hire: no charge

Between 7 and 2 days before the day of hire: 50% of the agreed hire charge

Within 48 hours of the day of hire: Full charge. No refund will be given.

In the event of unforeseen circumstances beyond our control (civil unrest, natural disasters, police closures of roads etc) of if the hiring party change the conditions of the hire without the express advanced agreement of Plan Ahead Coaches, we shall cancel the booking and return all moneys paid and accept no further liability.

We reserve the right to provide a larger vehicle than originally booked. In this event, no additional charge will be made to you.

We reserve the right to substitute vehicles (including using a coach belonging to another carrier) as necessary. In this event, we shall ensure that the vehicle supplied to you is of equivalent or greater value.

When you place your booking, any optional extras which you wish to secure must be agreed. We always endeavour to ensure these are in full working order, however in the case of a breakdown of one or more of our facilities, our liability shall be limited to £20 per item.

All advice we supply is given in good faith, however on occasion circumstances beyond our control may arise. In circumstances such as unexpected traffic, breakdown or anything else beyond our reasonable control, we do not accept liability for any loss or inconvenience suffered by the booking party.

If the booking party opt to organise any other elements of their journey as well as the hiring of a coach and driver, they may fall under the legal definition of an organiser or retailer and be required to be aware of and conform to the regulations which apply to package tours.

We are required by law to obey strict rules about the carrying of baggage and luggage for the safety of our passengers and other road users. While we will do our best to accommodate, the hiring party acknowledge that the driver shall be the sole arbiter on what may and may not be carried. To avoid disappointment, we recommend that we are notified about any particularly large or potentially dangerous items in advance so that arrangements may be made.

The driver is responsible for the safety of the coach and passengers and as such may deny service, without notice, to any individual who acts in such a way as to place them in jeopardy.

The named responsible person will be held liable for any damaged caused by any member of their party.

It is the responsibility of the booking party to be aware of any regulation on the consumption of alcohol. Where there is doubt, please ask us at the time of booking and we will be happy to advise and supply notices about these restrictions where appropriate.

If you have a complaint about any aspect of our service or facilities, the first person you should speak to is the driver. If this does not satisfy your complaint you may escalate by complaining in writing to the general manager within 14 days of your booking.

No posters are to be placed on-board without the advanced written consent of Plan Ahead Coaches.

No food is to be consumed on-board. Exceptions are made in the cases of confectionary and light-snacks or where kitchen facilities are provided for passenger use.

If we fail to provide the service as outlined in the hire agreement, our liability is limited to the amount paid by the booker to us.

In the event that we must use a vehicle belonging to another company, their conditions of carriage shall also apply.
